Uploading Files

This guide walks you through uploading files to Voxifi and attaching them to your AI agents.

Prerequisites

  • [ ] File in a supported format (PDF, DOCX, DOC, TXT, MD, CSV, TSV, JSON, YAML, XML, LOG)
  • [ ] File size under 50 MB

Step-by-Step Upload

Step 1: Navigate to Files

  1. Click Files in the sidebar
  2. Click Upload File

Step 2: Select File

Choose your file:

  • Drag and drop onto the upload area, or
  • Click to browse and select from your computer

Step 3: Wait for Processing

  1. Upload progress appears
  2. File is validated and stored
  3. File is processed so your agents can access it during calls
  4. Status changes to Done

Processing Time

Most files sync in a few seconds. If syncing fails, the file shows a Failed status — delete it and try again.

Step 4: Verify Upload

Check the file details:

Attaching Files to Agents

After upload, attach the file to your AI agents:

From Agent Settings

  1. Go to AI Agents
  2. Edit the agent
  3. Scroll to Knowledge Files
  4. Click Add File
  5. Select from your uploaded files
  6. Save changes

Organizing Files

Naming Conventions

Use clear, descriptive names:

  • product-catalog-2024.pdf
  • pricing-january.csv
  • return-policy.txt

Avoid:

  • doc1.pdf
  • new-file.txt
  • Names with special characters

Replacing Files

To update content:

  1. Upload the new version
  2. Attach it to the same agent(s)
  3. Remove the old file
  4. Test to verify

Version Control

Include dates or version numbers in filenames to track updates.

Troubleshooting

"Upload Failed"

Common causes:

  • File exceeds 50 MB limit
  • Unsupported file format

Solutions:

  • Reduce file size or split into smaller files
  • Convert to a supported format
  • Check your internet connection and retry

"Failed" Status After Upload

The file uploaded but couldn't be processed:

  • File may be corrupted
  • PDF may be image-only (not text-searchable)
  • Unsupported content encoding

Try:

  • Re-save the file and upload again
  • Convert to a different format (e.g., PDF → TXT)
  • For image-only PDFs, run OCR first

File Not Appearing

If the file doesn't show after upload:

  1. Refresh the page
  2. Wait a few moments for processing
  3. Re-upload if necessary

Managing Uploaded Files

Viewing Files

All uploaded files appear in the Files list with:

  • Filename and type
  • File size
  • Upload date
  • Status

Deleting Files

To remove a file:

  1. Click the Delete icon on the file
  2. Confirm deletion

Deletion Impact

Deleting a file removes it from all agents. Agents will no longer have access to that content.
