Inviting Team Members

This guide walks you through inviting new team members to your Voxifi organization.

Prerequisites

  • [ ] Owner or Admin role in your organization
  • [ ] Email address of the person to invite
  • [ ] Decision on what role they should have

Step-by-Step Guide

Step 1: Navigate to Users

  1. Click Users in the sidebar
  2. Click Invite Member

Step 2: Enter Email

  1. Type the email address of the person to invite
  2. Verify it's correct

Step 3: Select Role

Choose the appropriate role:

AdminTeam leads who need full platform access
MemberRegular users who make calls

Owner Role

You cannot invite someone directly as Owner. Ownership can be transferred by promoting an existing member to Owner from within the team settings.

Step 4: Send Invitation

  1. Click Send Invitation
  2. Invitation email is sent immediately
  3. Invitation appears in the pending list

Invitation Process

What the Recipient Sees

The invitee receives an email containing:

  • Your organization name
  • Who sent the invitation
  • Assigned role
  • Secure link to accept

Accepting the Invitation

When they click the link:

  1. New to Voxifi: Create an account with email and password
  2. Existing account: Sign in to link their account

Managing Pending Invitations

Viewing Pending Invites

  1. Go to Users
  2. See the Pending Invitations section
  3. View all outstanding invites

Resending Invitations

If someone didn't receive or lost their invitation:

  1. Find them in the pending list
  2. Click Resend
  3. A new email is sent and the expiry is extended to 7 days

Canceling Invitations

To revoke a pending invitation:

  1. Find the invitation
  2. Click Revoke
  3. The link becomes invalid immediately

Bulk Invitations

To invite multiple people:

  1. Send invitations one at a time
  2. Each person gets their own secure link
  3. Assign roles individually

Planning Ahead

Decide on roles before inviting. It's easier than changing them later.

Troubleshooting

"Invitation Not Received"

Common causes and solutions:

"Invitation Expired"

  1. Go to Users
  2. Find the expired invite
  3. Click Resend for a fresh link (valid for 7 days)

"Cannot Invite"

You may not have permission:

  • Only Owners and Admins can invite
  • Check your role in the team list
  • Contact your organization Owner

Best Practices

Before Inviting

  1. Confirm the email address is correct
  2. Decide on the appropriate role
  3. Communicate expectations to the invitee

After Inviting

  1. Let the person know to expect an email
  2. Follow up if they don't accept within a day
  3. Be available to help with setup questions
